What Should You Know Before Booking a Bicycle Transfer?
Essential Bike Transportation Tips
Before setting off on a cycling trip, planning your route, supplies, and equipment is important—but making sure your bicycle arrives safely at the starting point is just as essential.

Whether you are taking on a one-day Wuling cycling challenge, completing a section of a round-island ride, attempting the Taiwan Twin Towers route, joining a cycling event, or simply need transportation for both riders and bicycles, confirming the details in advance can make the entire journey much smoother.

Bike Traveler Tour Team has put together some of the most important things to know before arranging bicycle transportation. If this is your first time booking a bike transfer service, here are a few things worth preparing before departure.

01 Provide the Number and Type of Bicycles When Booking

When booking a bicycle transfer, we recommend providing complete information about your transportation requirements. This allows us to arrange a suitable vehicle and make sure there is enough space for both passengers and bicycles.

Number of passengers
Number of bicycles
Type of bicycles
Pick-up location
Drop-off location
Scheduled departure time
Large luggage or additional equipment

Road bikes, mountain bikes, gravel bikes, and electric-assist bicycles can vary considerably in size and weight. If your bicycle has a special frame, wider tires, custom wheelsets, or an oversized design, please let us know in advance so that we can plan the loading arrangement before the day of departure.

02 Remove and Secure Small Accessories Before Loading

Before your bicycle is loaded into the vehicle, take a moment to check whether there are any small accessories that could become loose or fall off during transportation.

Water bottles, bike lights, cycling computers, portable tools, pumps, mobile phones, removable saddle bags, and other accessories that could easily become detached.

These items may shift during loading or while the vehicle is moving, so removing them in advance and keeping them with you is the safer option. Helmets, cycling shoes, nutrition supplies, and spare clothing can also be packed separately in a bag for easier loading and unloading.

03 Follow Staff Instructions During Bicycle Loading and Unloading

Bicycles contain many components that require careful handling, including carbon fiber frames, wheelsets, drivetrain systems, and disc brakes. Extra care should therefore be taken during loading and unloading.

After arriving at the meeting point, please allow our staff to confirm the number of passengers and bicycles before loading begins. Bicycles will then be loaded in an appropriate order. If there are any parts of your bicycle that require special attention, please let our staff know beforehand.

Details worth mentioning in advance: carbon fiber frames, special wheelsets, electronic shifting systems, custom paint finishes, existing scratches, or any protruding or delicate components.
04 Please Inform Us in Advance If You Are Transporting an E-Bike

Electric-assist bicycles are generally heavier than standard road or mountain bikes, and their frame dimensions and battery specifications may also differ. If you need transportation for an e-bike, please provide the model, quantity, and relevant specifications when making your reservation. If the battery is removable, you can also confirm whether it should be stored separately so that we can determine the most suitable transportation arrangement.

05 Allow Extra Time for Bicycle Loading

A bicycle transfer is slightly different from regular passenger transportation. Once everyone arrives at the meeting point, we still need time to confirm passengers, organize luggage, prepare the bicycles, and complete the loading process.

If you need to arrive in time for event registration, a race, road closures, or another fixed meeting time, avoid scheduling your transfer too tightly. This is especially important for group transfers involving multiple riders and bicycles. Allowing additional time for loading and unexpected traffic will make the entire journey much more relaxed.

06 Make Sure the Pick-Up and Drop-Off Locations Are Accessible

Some popular cycling routes begin or end in mountain areas, narrow streets, scenic areas, or locations with heavy traffic. Depending on road conditions and local restrictions, the transfer vehicle may not always be able to stop directly at your requested location.

When making your reservation, please provide a complete address, Google Maps location, or a clearly identifiable meeting point so that we can check the accessibility of the pick-up and drop-off locations in advance.

If the requested location is not suitable for the vehicle to stop for an extended period, the actual meeting or drop-off point may be adjusted according to traffic conditions and safety considerations.

07 Remember to Include Your Luggage When Planning Transportation

A cycling trip usually involves more than just bicycles. Riders may also bring helmets, cycling shoes, nutrition supplies, spare clothing, backpacks, and even large suitcases. When several riders travel together, the total amount of luggage can quickly add up.

If you will be carrying large suitcases, equipment bags, or special gear, please let us know when making your reservation. Bike Traveler Tour Team can assess the number of passengers, bicycles, and amount of luggage to help determine the most suitable vehicle arrangement.

08 Consider Weather and Traffic Conditions for Mountain Routes

Popular cycling destinations in Taiwan, such as Wuling, Hehuanshan, Sun Moon Lake, and Alishan, can be affected by weather conditions, road restrictions, event-related road closures, and heavy holiday traffic. Weather conditions in mountainous areas can also change quickly.

In the event of heavy rain, typhoons, road closures, rockfalls, or other conditions that may affect road safety, the scheduled transfer time or route may need to be adjusted according to current road and safety conditions.
09 Contact Us Early If Your Time or Location Changes

Cycling trips can sometimes be affected by unexpected situations such as changing weather, physical fatigue, flat tires, or mechanical problems. If you need to change the transfer time, pick-up or drop-off location, or number of passengers, please contact Bike Traveler Tour Team as early as possible. We will help confirm the available arrangements based on the day's vehicle schedule, traffic conditions, and your actual itinerary.

10 Do One Final Check Before Departure

Cycling events often require an early start, sometimes even before sunrise. With so much equipment to prepare, it is easy to leave something behind. Before getting into the vehicle, take a moment to do one final check:

Make sure all bicycles are accounted for
Make sure all helmets are packed
Make sure all cycling shoes are packed
Check that you have your mobile phone and wallet
Check that you have your nutrition supplies and personal belongings

For group trips, it can also be helpful to have one rider responsible for confirming the total number of passengers and bicycles before departure. This simple step can make the loading process much smoother.

Plan Your Transfer First, Then Enjoy the Ride

A great cycling journey begins long before the first turn of the pedals. By confirming your transfer time, number of bicycles, luggage, and meeting point in advance, you can spend less time worrying about transportation and more time enjoying the ride itself.

Whether you are planning a one-day cycling challenge, transportation for a cycling event, a point-to-point cycling trip, a Bike Around Taiwan journey, or a group bicycle charter transfer, Bike Traveler Tour Team can help arrange transportation based on your actual itinerary and travel requirements.
